QA/QC Document Controller
Location: Stanford-le-Hope, Essex

We’re looking for an experienced QA/QC Document Controller to join our client’s team, supporting rail and civil engineering maintenance projects by managing quality documentation and ensuring audit-ready records throughout the project lifecycle.
Working closely with Facilities, Engineering, Delivery and Commercial teams, you’ll be responsible for controlling, collating and maintaining all QA/QC documentation, ensuring compliance with client requirements, industry standards and quality management systems. You’ll play a key role in supporting project delivery, payment applications and final handover documentation.
Key Responsibilities
- Administer and maintain the Common Data Environment (CDE) / Electronic Document Management System (EDMS), ensuring all project documentation is accurately controlled.
- Receive, register, distribute and archive drawings, RAMS, Inspection & Test Plans (ITPs), technical documents and correspondence with full version and revision control.
- Collate QA/QC documentation including inspection records, test certificates, photographs, product approvals and quality data sheets.
- Manage document transmittals, Requests for Information (RFI) logs and interfaces between client and contractor document management systems.
- Ensure documentation complies with ISO 9001, ISO 14001, ISO 45001 and client-specific quality requirements.
- Support internal and external audits by maintaining accurate document registers and the Master Deliverables Register.
- Produce and maintain document trackers, progress reports and weekly status updates to support project delivery, payment applications and commercial reporting.
- Provide guidance and support to project teams on document control procedures, numbering conventions, metadata and workflow processes.
- Compile as-built documentation, Operation & Maintenance (O&M) manuals and project handover packs for client submission.
- Ensure all documentation is complete, accurate and available to support successful project close-out.
Requirements
- Previous experience in QA/QC or Document Control within the construction, civil engineering or rail sectors.
- Strong understanding of document control processes, document lifecycle management, revision control and metadata management.
- Knowledge of QA/QC documentation, including Inspection & Test Plans (ITPs), Work Package Plans (WPP), Task Briefing Sheets, inspection records and Non-Conformance Reports (NCRs).
- Experience using Electronic Document Management Systems (EDMS) or Common Data Environments (CDE), such as Aconex, Asite, ProjectWise or Viewpoint.
- Proficient in Microsoft Office and PDF document management software.
- Excellent organisational skills with exceptional attention to detail and the ability to manage high volumes of documentation accurately.
- Strong communication skills with the ability to work collaboratively with engineers, site teams, commercial teams and external stakeholders.
- Ability to work effectively under pressure while maintaining compliance with quality standards and project deadlines.
Desirable
- Previous experience working within the rail industry and familiarity with Network Rail standards.
- Knowledge of ISO 9001, ISO 14001 and ISO 45001 quality management systems.
- ISO Internal Auditor training or equivalent quality assurance qualification.
